Privacy Policy for Prompt Solar CRM

Prompt Solar CRM ("the App") is an internal customer relationship management tool for Prompt Solar's sales and field staff. This policy explains what data the App collects and how it is used.

Data We Collect

• Account information: name, email, and role, used to sign you in and attribute your activity within the CRM.
• Location: when you log a site visit, the App records your device's location at that moment so the visit can be tagged to where it happened. Location is only accessed while the App is in use, and only when you initiate a visit log.
• Photos: photos you choose to attach to a site visit, either from your camera or photo library.
• Customer and lead data: names, contact details, call logs, and notes that you enter about prospects and customers as part of your sales work.

How We Use This Data

Data collected is used solely to operate the CRM for Prompt Solar's internal sales and operations workflows — tracking leads, visits, and customer communications. We do not sell this data or use it for advertising.

Data Storage and Sharing

Data is stored in our Supabase-hosted database and is accessible only to authorized Prompt Solar staff. Site-visit photos are never shared outside this database.

As part of the sales workflow, some lead/customer data is sent to the lead directly over WhatsApp: an automated text message when a call is logged, and — once a sale is finalized — a PDF copy of the signed intake form (name, address, phone, and payment details) with a request to confirm it. These messages are sent through our own WhatsApp messaging service, which in turn delivers them via WhatsApp's platform.

Data Retention

Data is retained for as long as your account is active and as needed for Prompt Solar's business records.

Your Rights

Employees and contractors with an account may request access to, correction of, or deletion of their personal data by contacting us below.
